If you mean 'Paste Labels from Clipboard', for me (on Windows) it only pastes them once. But maybe 'Insert Catalog Labels' is something else that I can't recall?

I use VueScan for scanning paper to PDF with OCR enabled. It works brilliantly.
I do the same with the OCR option on my Epson Perfection scanner, which works well. I also use Pdfforge's PDF Creator (https://www.pdfforge.org/pdfcreator) to archive digital documents with OCR.

BTW, if you're seriously into scientific naming, then PSU supports Darwin Core.

The macro is a menu selection. Follow these steps:
Select New Custom Field > Add Macro Field
Enter a caption.
Click the pre-entered %FileName and choose Select Another Macro
Select Catalog > Portfolio List
Click OK
