For an asset to be available and accessible through a search in a database such as PSU, it needs to hold certain indispensable metadata.
This problem holds less for digital pictures which, normally, camera stamps with date taken, and even geolocation.

As for newly scanned slides or negatives, everyone knows they walk into the database completely stripped of basic info, which makes them not accessible.

Informing such assets requires a sequential method. There are a few steps which can quickly make these accessible: applying Date taken, adding people tags, and a short description.

All 3 or one of the three could already turn a stripped assets to an active element of the database.

It is essential to have a way to mark assets as having gone through these steps.
Yes in PSU, there are colors that can be added to thumbnails. There are stars which can temporarily be applied to such role, since they are meant to rate photo.

We have explored these options and found there is a marking option we need that I can not find in PSU.

Lets say Yellow stand for date take as having been set to asset. Green for description as done. Red for all people as having been identified in photo.

Some dates may need research before date may be applied. Some persons might require someone else who is absent in the moment, to be able to identify them. Same for the description.

Given the huge amount of photos which will have to go through such processes, we need a way to identify which of these steps are done. For some photos it could be step 1, others 2, others 3, others all 3.

As of now PSU can mark one color to a thumbnail. Stars can only be chosen in 1-2-3-4-5 sequence, 5 having all stars on, which would mean all 5 steps are done.

Is it possible to have, for instance all 5 colors in little squares with the ability to set on the color associated to the step that is done?

This would help us tremendously in dressing up our photos.
Once all main steps done than we could use one solid color per thumbnail to complete rest of info over time, with the help of many users.

There may already be a script written for such application.
I went though those available on PSU site. Unless, I missed it, I didn't find this option.

As anyone ever written such script?
Anything that would mark the photo as described above would do.

Can you not simply assign Labels as appropriate, you could even name them as a Colour if that seemed essential, so have a Category "Awaiting all Info" and then labels under that for each bit of information required, if necessary you could invert the process with Labels "Waiting for names", "Waiting for Dates" etc then apply those as required at the start, then remove them as the info is found and completed. At any time you could look under "Waiting for Dates" to see what remains etc. ?

Make Catalog labels, one for each state you want to maintain
Optionally make these labels private, so they aren’t written to file
Make each of these labels part of a label set (eg name it Workflow)
In the Label Assignment Panel, click the label when that part of the workflow is finished

Right click the Grey square and choose an Icon, I just created 40x30 pixel images of colours see http://www.g8dhe.net/pictures/psu/colours/
